1. What this covers
How we handle personal data when you sign up for and use FoxEra Calls, when your account is used to call, message or email people on your behalf, and when someone visits foxera.co.uk or contacts us. If you are a customer, you are usually legally responsible for the people you ask us to call — see section 9 of our Terms of Service.
2. Your account
Name, work email, company name, and a password stored as an irreversible hash — we never see or store your actual password. When you top up call credit, our payment partner Stripe collects your card details directly; we only ever see a reference to the payment, never your card number.
3. Your contacts (leads)
Whatever you give us — name, phone number, email, company, notes — plus where it came from. If you use our "Find leads" tool, we search public sources (business listings and general web search) and read a business's own public website to find a contact number. We do not buy or hold third-party marketing lists.
4. Calls made through your account
Both phone numbers, the time and length of the call, its outcome, a written transcript, and a summary. The audio recording itself is held by our calling provider, Twilio, not on our own servers — we stream it to you on request. During the call, the conversation is processed live by an AI voice provider (OpenAI or Google, depending on the agent you choose) to understand what is said and generate the reply, and by a speech-to-text provider (Deepgram) where used.
5. Connecting an AI assistant
If you connect an AI assistant (such as ChatGPT or Claude) to your account, it can read and act on your own leads, campaigns and call records exactly as you can — using a key or connection only you control. It cannot see any other customer's data. Revoking the connection or changing your password ends its access immediately.
6. Why we use your data
To provide the account and calling service you have signed up for, and to take payment (necessary to perform our contract with you); to keep the service secure and prevent abuse, and to understand what is working and fix what is broken (our legitimate interest, without using your contacts' personal data for this). We do not use AI to profile people or make automated decisions that produce legal or similarly significant effects about them.
7. Who we share it with, and how long we keep it
We use Twilio (calling/recording/SMS), OpenAI and Google (understanding and generating the call), Deepgram (speech-to-text), Stripe (payments), Resend/SendGrid (email), Google Calendar (only if you connect it), and Cloudflare (stopping bots at signup). Some of these are based in the United States; we rely on the standard safeguards UK law recognises for sending data there. We keep account and billing records for as long as your account is open, then 6 years (UK accounting rules). We keep your contacts, call records, transcripts, summaries and call recordings for as long as your account is open, unless you ask us to remove specific items sooner. If you ask us to close your account, we delete your data — including the call recordings held by our calling provider — within 30 days of your request, except where the law requires us to keep something longer.
8. What we tell the person you are calling
FoxEra Calls agents confirm that they are an AI whenever the person asks, and never claim to be human. You must not ask us to change that. If the law where the person you call lives requires an AI to say so at the start of the call (for example the EU AI Act, from 2 August 2026), making your campaign meet that rule is your responsibility — see section 3 of our Terms of Service.
9. Your rights
You, or someone you have called, can ask us to show what we hold about you, correct it, delete it, stop using it, or hand over a portable copy, and can complain to the Information Commissioner's Office (ico.org.uk) if unhappy with how we handle a request. There is no self-serve export or delete button in the dashboard yet — email [email protected] and a person will action it. We aim to respond within 30 days.
10. Security
We use encryption in transit and at rest where our providers support it, and access to customer data inside FoxEra is limited to what is needed to run the service and give support. No system is completely secure, and we cannot guarantee that data sent over the internet is fully safe.
11. Children
This service is for businesses. It is not directed at children, and we do not knowingly collect data about anyone under 18 through it.
12. Changes to this policy
We may update this policy. If a change is significant, we will tell you before it takes effect, and you will be asked to accept the new version at your next sign-in. The version number at the top always shows the current one.
