After “call me back”: how to stop losing warm leads
The call went well. What happens in the next 24 hours decides whether it was worth making.

The moment that decides the sale
Someone said “call me back next week” or “send me the details”. This is where an interested conversation is easily wasted: the note is in someone’s head, the call-back never happens, and the next contact starts from zero.
What FoxEra does with a warm call
- It goes into Warm calls: everyone who asked for a call back, a demo or a price, left a message, or was put through. A red number on the menu shows how many are still open.
- Each one has the summary and the full transcript, and the recording where there is one, so you know exactly what they said before you ring.
- You add a follow-up with a date and a time. Managers can tick “also call them automatically at that time”, which schedules the call-back.
- When it is dealt with, mark it handled. It leaves the open list, and you can open it again if they ring back.
- What the person said about themselves (their name and role, who decides, the best time to call) is saved on their record, so the next call does not ask again.
A simple rule for your team
Every warm call gets a follow-up with a time before the end of the day, or it gets marked handled with a reason.
That is all the process most small teams need. The Routines page then shows every scheduled call-back and email in one list, which you can move or cancel.

What to say when you ring back
- Listen to the recording first. Thirty seconds is enough to hear what they actually asked for.
- Open with their words: “You asked us to call back about the party menu” beats “Just following up”.
- Bring the one thing they asked for (a price, a date, a sample) and ask for one next step.
- If they are not interested now, ask when to try again and set the follow-up for that date.
Why the details matter
A follow-up that asks again for information the person already gave tells them nobody listened. Because FoxEra saves what people said about themselves on their record, with the call it came from, the next call (by a person or by the agent) starts from what is known: the right name, the decision maker, the best time.
