AI receptionist, answering service or voicemail — which does a small business need?

Search for help with your phone and you'll see three terms used almost interchangeably: virtual receptionist, answering service and AI receptionist. They are not the same thing, and choosing the wrong one costs either money or customers.

What each one actually is

  • Voicemail records a message. Nothing else happens until you listen and call back.

By type of business

Salons and beauty. Most calls are about appointments: when, who, how long. Your hands are busy with a client. Any option that answers live and takes the details beats voicemail.

Clinics. Callers may be anxious and some calls are urgent. Whatever answers must know exactly what it may and may not say, and when to pass the call to a person. Agree those limits in writing.

Trades. You are on a ladder or under a sink. A missed call is often a job that goes to the next name on the search results. What matters is capturing the address, the problem and a call-back number quickly.
