An AI agent for bar events and private hire
Two jobs: answer the people who ring about booking the back room, and ring the companies who have not thought about their Christmas party yet.
The problem on a busy day
Event enquiries arrive while the bar is busiest, and the companies most likely to book a party are the ones nobody has had time to call. Both jobs need someone on the phone at the wrong moment.
What the agent does
- Inbound: answers event and private-hire enquiries in your bar’s name, with opening hours that can run past midnight (for example 18:00 to 02:00).
- Takes the details you need: date, number of guests, budget, food, contact name and number.
- Outbound: Cass, our calling agent, rings a list of local businesses inside the calling hours you set, says why she is calling and asks one question about their plans.
- Finds that list for you: search Google Maps or the FoxEra database by type of business and town.
- Everyone who shows interest lands in Warm calls with the recording, so you ring back the ones worth it.
- Nothing dials until you approve the campaign, and each contact is called at most once a day.
It answers only from the facts you save. If it does not know, it takes a message; it never invents prices, times or availability. If a caller asks whether it is an AI, it says so and never claims to be a person.

Cass: Hi, is that Priya? It’s Cass, calling for The Lamplighter on Mill Street. I’m ringing local teams about Christmas parties this year.
Prospect: Oh, we haven’t sorted anything yet.
Cass: Roughly how many of you would it be?
Prospect: About twenty-five.
Cass: The back room takes thirty. Shall I have the manager email you the party menu and the free dates?

Setting it up
- Create your workspace and describe your bar and what you want to sell (party nights, private hire).
- Find local companies: search Google Maps or the FoxEra database, or upload your own list.
- Read and approve the opening Cass will use. Set your calling hours.
- Approve the campaign. Follow up the warm calls from the Warm calls inbox.
- Add the Receptionist (bar starter pack) if you also want your event enquiries answered.
What it does not do
- It does not take deposits or card payments on the call.
- It does not confirm a date: it collects the details and you confirm.
- Outbound calling to UK numbers must follow the TPS/CTPS rules: read the screening guide first.
What it costs
Receptionist: your first month is free with no card; then Solo £39 or Business £79 a month (exact allowances are confirmed before activation). Outbound calling: 21p per connected minute from prepaid credit, £7 free to start. Tax may be added where applicable.
